The following article will show you how to create email payment reminders that are sent to order contacts.
If an order is cancelled the payment reminder will still be sent.
- In your Zapier Dashboard select Create Zap.
- Search for and select Arlo from the app selector.
- Choose New Order as the Trigger Event and press Continue.
- Add the following extra information:
- Billing Contact information
- Payment References information (if you'd like to provide a summary of payments made so far)
- Choose your account and press Continue.
- On the find data step, press Test trigger and Continue.
If Zapier says it cannot find any orders to display try creating a new order in your platform, waiting a couple minutes, and clicking test again.
- Select the Filter by Zapier as the second step.
The filter can be set up to trigger only when certain conditions are met, you'll need to set it to only proceed if the order is not cancelled and is unpaid.
- Set the rules as below.
- Press Continue.
The filter may not trigger with your sample orders due to Zapier only pulling paid orders in as samples but it will trigger for any actual order that is completed when the Zap is live.
- Choose Formatter as the new action.
The Formatter allows you to add or remove time to a date and change the way it is structured. Using this you can subtract 14 days and output it for the delay step to wait until.
- Select Date/Time for the Choose Action Event.
- Select Add/Subtract Time for the Transformation.
- For the Value select the Payment Due Date from Arlo's order information.
- Set the Expression to -14 days.
- The To Format (what it will output the date as) needs to be set to DD-MM-YYYY.
- The From Format (the date format Arlo provides) needs to be set to YYYY-MM-DDTHH:mm:ssZ.
- Press Continue to test the formatter.
- The test should return a result that looks like this.
- Choose Delay by Zapier as the new action.
The Delay will take the payment reminder date from the Formatter and wait until it is reached before proceeding and sending the email.
- Select Delay Until as the Choose Action Event.
- Select the date from the Formatter for the Date/Time Delayed Until field.
- For How should we handle Dates in the Past? leave it as the default Continue if it's up to one day.
- Select Test & Continue to complete the delay action.
- Search for and select Outlook as the new Action.
- For Choose Action Event select Send Email and press Continue.
- Select the Outlook account you'd like to connect to the Zap.
You will need to connect to your Outlook account if this is the first time you've used it for a Zap.
- For the To Email(s) field choose the Billing Contacts Email.
When choosing what Arlo information to use Zapier shows you the available fields and allows you to search and select them.
- Set a Subject.
- You can create the email body using two methods controlled by the Body Format selector:
- HTML - Use Arlo's automated email HTML to create a payment reminder email that is styled the same as your Arlo order emails.
- For customers with access to the Email Template Customisation feature use this guide - Customise your email template design (Product Lab customers only).
- Contact Arlo Support to use our Zapier Consultancy, we will create the Zap and email to match your Arlo emails and your own content.
- Plain Text - Type in normal text and combine it with the Arlo order information to create a basic payment reminder email.
- Create your email either by copying in your customised HTML or creating a plain text written email. In this example we're using the HTML option to created a branded payment reminder email.
Contact Arlo Support if you would like us to create your own branded payment reminder email as part of our Zapier Consultancy Service.
- Once you've entered all the relevant order information to the billing contact, press Continue.
Do not test this email if you have a real registration selected for your test data as this will send an email to the customer!
If you want to test it, change the Arlo contact email to your own by typing your email in manually, and press Test & Review. If you're happy with the result change back to the Arlo field and continue.
- If you tested the email and successfully received it you can move on.
- The Zap is now created and ready to go, all that's left is to give it a name and turn it on.
