The following article outlines how to manage a venue's operating hours and external appointments so that Arlo's calendar and schedulers show accurate venue and room availability.

Add a venue's working (operating) hours
- Open the Venues and rooms menu.
- Find and select the venue you would like to edit.
- Select the Details tab.
- Select the Calendar tab.
- Add the days and times the venue operates.
- Press Save.
Add an appointment to a venue
There may be a reason why a venue is not available for use for your events that are external to Arlo, i.e. a venue may be closed for renovations. For these occasions, you can add external appointments to venues that can be seen in the calendar and scheduler.
- Open the Venues and rooms menu.
- Find and select the venue you would like to edit.
- Select the Details tab.
- Select the Calendar tab.
- Press New appointment.
- Enter the appointment Name.
- Enter either the appointment's start and end dates, and start and end times (or tick All day).
- Press Save or Save and close.
- The new appointment is displayed in the list. Note: You can edit or delete created appointments as required.
- Press Save or Save and close.
Add a room's working (operating) hours
Rooms in Arlo automatically inherit the working hours of the venue they belong to. If the room has a different schedule from the venue then you can change the room's working hours by following the process below.
- Open the Venues and rooms menu.
- Find and select the venue you would like to edit.
- Select the Rooms tab.
- Select the relevant room from the list.
- Select the days and times the room operates.
- Press Save.
Add an appointment to a room
There may be a reason why a room at a venue is not available for use for your Arlo events that is external to Arlo, i.e. A room may be closed for renovations, a staff function etc. For these occasions, Arlo allows you add external appointments to rooms that can be seen in the calendar, schedulers, and the event wizard.
- Open the Venues and rooms menu.
- Find and select the venue you would like to edit.
- Select the Rooms tab.
- Select the relevant room from the list.
- Press New appointment.
- Enter the appointment Name.
- Enter either the appointment's start and end dates, and start and end times (or tick All day).
- Press Save or Save and close.
- The new appointment is displayed in the list. Note: You can edit or delete created appointments as required.
- Press Save.
Add an appointment to a venue/room from the scheduler
You can add an appointment to a venue or room directly from the venues and rooms scheduler.
- Open the Venues and rooms scheduler menu item.
- Press New appointment.
- Enter the appointment Name.
- In Select venue, enter the venue name and if required, select a room from the dropdown.
- Enter either the appointment's start and end dates, and start and end times (or tick All day).
- Press Save or Save and close.
