The following article provides instructions for managing existing leads in Arlo.
The following instructions describe how to edit an individual lead's information, for example, to add the value or add more information.
- Open the Leads menu.
- Make the desired changes.
- Press Save.
The following instructions describe how to edit multiple lead's statuses; for example, mark as won or lost.
Arlo recommends maintaining your leads' status, as you are able to track leads interested in certain events. Actively maintaining your leads will mean that your general lead list and event lists are full of relevant leads only (not outdated).
- Open the Leads menu.
- Select the leads from the list.
- Press Actions.
- Select the relevant action from the list.
You can rate your leads as hot or warm and include this in your Leads List report, for example, pull a list of all 'hot' leads.
To edit the rating of a lead:
- Open the Leads menu.
- Find and open the lead you wish to rate.
- From the Rating drop down box, select the appropriate rating.
- Press Save.
- Open the Leads menu.
- Select the leads from the list.
- Press Actions.
- Select Put on hold.
You can assign leads out to your staff members. This allows them to search for and filter their own leads in the lead list, and also run reports on their leads.
- Open the Leads menu.
- In the Assigned to field, select the contact (admin).
- Press Save.
Arlo does not send a notification when assigning a lead out. If the assignee is an administrator in Arlo, you can create a task for the assignee to manage that particular lead. The admin will receive a notification that they've been assigned the task to manage that lead.
You can filter the lead views to show only the leads that are assigned to you (My Leads).
- Open the Leads menu.
- Press the Filters drop-down.
- Select My leads. Your leads will be displayed in the list.
The following process describes how to send an email to the contact person on a lead or multiple leads. For example, you may now have several leads to run an event, and you want to contact the existing leads to let them know they can now register.
Emailing through Arlo means your email application (Outlook, Gmail, etc.) will open with each of the leads' email addresses in the blind copy (Bcc) field. The email will not be tracked in Arlo.
- Open the Leads menu.
- Find and open a lead from the list or select the leads.
- If you selected multiple leads, press Actions and select Send email.
- If you selected an individual lead, press Send Email.
The following explains how to manage potential spam website leads submitted through your website. Where applicable, Arlo will also delete the spam contact and organisation record created in Arlo. We recommend that you check for spam leads regularly and delete them as needed.
- Open the Leads menu.
- Press Spam from the list of views.
- Select the leads you would like to delete as spam.
- Press Actions, and select Delete as spam.
If you are receiving a high number of spam leads, you can enable CAPTCHA on your website forms. Read how to enable CAPTCHA.
Arlo allows you to add tasks, notes, and documents/attachments to existing leads to help keep your leads organised.
- Find and open the lead you want to add a note to.
- From the toolbar, press New note.
- Add your note and any formatting.
- Add any attachments (if required).
- Press Save Note.
Store important documents where you need them by attaching it directly to the lead. For example, attach any proposals sent to the contact.
- Find and open the lead you want to add a document to.
- Open the Documents tab.
- Drag in or browse for the file you want to attach.
Assign tasks to leads, for example, to know when you're due to follow up. Having your staff add important tasks to leads also means you can check for outstanding tasks and allows others to take over in the case of staff absence.
- Find and open the lead you want to add a task to.
- From the toolbar, press New task.
- Press Save Task.
