This article describes how to add prospects to your campaign in Arlo. Prospects are contacts in your database who are potential registrants for the courses you are advertising in a campaign. An example of this would be targeting people who have completed stage one of a qualification by adding them to a campaign advertising stage two of the same qualification.
Prospects that are added to a campaign are a snapshot of your database at the time the prospects are added. Changes to contacts after a campaign list is created will have no impact to the prospects in the list
- If you choose to add all contacts, apply further filtering to the prospect list.
- Open the Campaigns menu.
- Find and open the campaign you wish to add new prospects to.
- If you choose to add all contacts, apply further filtering to the prospect list.
Add newsletter subscribers (no further filtering)
Being a newsletter subscriber does not necessarily mean this contact has consented to receive this particular communication and may have consequences under GDPR if any prospects are within the EU. If you need to include only prospects that have given consent (e.g. for GDPR), choose the below option as you can add your newsletter prospects along with other filters. Learn more about GDPR and Arlo.
- Select Add newsletter subscribers if you want only newsletter subscribers to be included in the search list.
You will not be able to add any more filters to the prospects. If you want to add more filters to the list of newsletter subscribers, you should select Add contacts and you can choose the newsletter subscribers with additional filters at the next stage.
Add contacts and apply further filtering (including consent status etc)
Use this option if you need to include only prospects that have given consent (e.g. for GDPR), or you need to add further filtering to the prospect list.
- Select Add contacts.
- Select from the list which set of contacts you would like to add prospects from.
- Active contacts will filter from only active contacts on the platform.
- All contacts will filter from all contacts on the platform (including archived)
- Newsletter subscribers will filter from only the contacts that are subscribed to your newsletter in Arlo.
- Conditions allow you to target certain contacts by limiting the results based on certain criteria. For example, you may want to target contacts with certain tags, or target people who have not registered for a particular course, or a combination of criteria.
If you add your condition(s) under the Meets ALL of the following conditions section, only contacts who meet all of these criteria will be added to the list. If you add your condition(s) under the Meets ANY of the following conditions section, contacts who meet any or all of these criteria will be added to the list.
- In the Where drop-down, select the type of data that you want to filter using.
- Select the Gear icon to add more additional or optional condition row(s).
- Choose And to specify that the contact must meet ALL the conditions being added.
- Choose Or to specify that the contact must meet just ONE of the conditions being added.
- Press Preview (top 50 results) to see a preview of the contacts the conditions have generated.
- Press Add prospects.
- In the next screen, the cog icon will display while the contacts are being added to the campaign. Refresh your browser if your contacts do not display here within a few seconds.
This is only an example process and is not to be copied for your use without first checking it against your GDPR processes and consulting a GDPR specialist lawyer. Learn more about managing GDPR with Arlo.
You may need to filter your campaign prospects to ensure you are only including contacts who have consented to receive the type of information you are going to send.
Example situation:
Training Company has a consent form/field for receiving newsletters, and a separate consent form/field for promotional offers. They have the following two consent forms on their registration forms and have both been updated recently to a newer version two.
They want to send a campaign to their active contacts to promote several upcoming courses with a 5% promotional discount offer.
- Press Prospects and select Add contacts.
- Select Active contacts.
- Add the consent condition (these will be listed separately in the condition dropdown).
- As the consent forms/fields have been updated to version two, we want to add a second condition to ensure we are only adding prospects who have agreed to version two of the consent form.
- Add any other conditions as required.
- Preview and then Add prospects.
Arlo allows you to add time-based criteria to your campaign prospect filtering so that you can specifically target groups based on registrations/courses within a certain time frame.
Example situation:
You may want to send a campaign to active contacts with your most popular courses, but not want to send it to people that have registered for any courses within the last six months.
- Press Prospects and select Add contacts.
- Select Active contacts.
- Add the Has registrations matching... condition.
- Add the condition criteria (in this case we are wanting to list contacts who have not registered for any course starting within the previous six months).
- If you want to add specific courses to this condition, for example, you want to list contacts who have not registered for a specific course within the last six months, press AND within the grouped 'registrations matching criteria', and then add the new sub-condition.
- Add any other conditions as required.
To add a condition unrelated to the grouped 'registrations matching' criteria, you must press AND at the top left, next to 'Has registrations matching' (not within the grouped conditions).
- Preview and then Add prospects.
You can filter your prospects list on any custom contact fields you have configured in your Arlo platform.
Example situation:
Training Company wants to send a campaign to all people who have a ticked custom checkbox field on their record.
- Press Prospects and select Add contacts.
- Select Active contacts.
- Add the Extended info condition.
- Select the custom field you wish to filter on.
- Select how you wish to filter on that field.
- Select the answer you wish to filter on.
- Add any other conditions as required.
- Preview and Add prospects.
