Tags are keywords or terms that you can easily apply to your records to help you describe and categorise contacts and organisations.
For example, you can tag important contacts with the term Key Contact or Decision Maker, people who manage the billing for an organisation as Billing Contact, or the person who manages training as Training Manager. For organisations, you can tag your customers as Customer, your suppliers as Supplier, your business partners as Partner, and important customers as Key Client.
Tags can be used as a filter condition in your list views and in many of Arlo's reports, enabling you to target the specific contacts or organisations you need.
While tags can be very flexible and used for a wide range of purposes, make sure you also consider the following tools to decide on the best solution to meet your requirements.
- Order Flags - Order flags allow you to add a special note on a contact or organisation that is displayed when viewing an order associated with that record. For example, Felicity has an overdue account, or DesignQ requires a purchase order on invoices before payment. Learn more about flags.
- Custom Fields - You can create custom fields in your database when you want to record specific information about a contact or organisation. Custom contact and organisation field information can be imported and custom contact fields can be added to your website forms. The following process describes how to add a tag to a contact or organisation.
- Find and open the record you would like to edit.
- From the toolbar, press Tag.
- Enter the name of the tag you would like to add. If the tag already exists it will appear in the menu as you type. Select the tag to add it to the contact. If the tag does not exist, enter the full tag and then press Enter. A new tag will be created and added to the list.
- Press Apply tags.
- Tags will be visible in the record.
If the characters for all of your tags combined exceeds 500, the internal search function for the tags will not search for any new tags after 500 characters. This will not affect how tags show on your website.
You can add the same tag to multiple records from the contact and organisation lists.
- Open the Contacts or Organisations menu item.
- Select the records you would like to tag by ticking the checkbox in each row.
- Press Actions and select Tag.
- Enter the name of the tag you would like to add. If the tag already exists it will appear in the menu as you type. If the tag does not exist, enter the full tag and then press Enter. A new tag will be created and added to the list.
- Press Tag Contact or Tag organisation.
- Open the Contacts or Organisations menu item.
- Enter the name of the tag into the search box. A list of tags which match your search will appear in the menu as you type.
- Select the tag. Only records tagged with the tag you have selected will be displayed in the list.
You can create, delete, or rename a tag from tag management list in your tag settings.
- Press Add tag button. A new line will appear at the top of the tag list.
- Enter the name of the tag you would like to create and click Save or press Enter.
- Select the tag you would like to delete by clicking on the row.
- Click Delete.
- Press Delete Tag.
- Select the tag you would like to rename by clicking on the row.
- Click Edit.
Double-clicking the row will also allow you to edit the tag.
- Edit the name of the tag.
- Click Save.
