The following article describes how to manage your registrations and registration related processes.
Manage individual registrations
If your course needs to be cancelled, you will need to manage the existing registrations on that course so they are not also cancelled. There are a number of possible approaches for managing these registrations within Arlo and you should consider which is the best for your business.

In Arlo, administrators can enter information about a registration against a registration records. Presenters can use the Arlo for Mobile App to edit registration information.
- Open the Registrations or Elearning registrations menu item.
- Search for and open the registration you wish to add information to.
- Edit the registration details as required.
- Press Save and close.
Arlo allows you to easily transfer, cancel or swap registrations on courses. Once the change is made, Arlo will send the appropriate notifications to both registrants and order contacts, with those notifications also including calendar appointments (where activated).
Registration transfers and swaps are not supported for elearning registrations.

In the Arlo management platform, you are able to mark attendance, grades, and results at course level and for elearning modules, you can record grades and results. For multi-session courses, you are also able to record attendance at session level.
Using the Arlo for mobile app, your presenters can also mark attendance and results at both course and session level for your instructor led courses.

The following processes describe how to mark an elearning registration as completed from the management platform and how to revert a registration from completed to approved.
If your elearning module is connected to Moodle, you may not have to do this if you have activity tracking enabled.
- Open the Elearning menu item.
- Open the elearning module.
Apply a filter from the Registrations tab to find registrants that may require being marked as completed.
- Select the registrants you would like to mark as completed.
- Press Actions and select Mark as completed.
- Confirm your action by clicking Mark as completed.
If you accidentally mark an elearning registration as completed, you can undo this and revert the registration's status back to approved.
- Open the Elearning Registrations menu item.
- Select the Completed view.
- Open the registration you need to revert.
- From the status bar, click Undo.
- Press Save and close.
Manage general registration tasks
The following instructions describe how to send an email to registrants on a course or elearning module.
- Find and select the course or elearning module for which you would like to email your registrants.
- From the toolbar, press Email.
- Select the people you would like to email from the list within the menu.
Mail programmes (like Outlook) can have character limits on the To and BCC fields which may mean not all email addresses are included, so it is advisable to check that all recipients are listed in the outgoing email.
From time to time you may receive spam registrations where the 'person' has no intention of attending the course. The following clues may indicate that a registration is not genuine:
- The registrant's name does not look valid. Most spam registrations will have a name that is just jumbled characters rather than a real person's name.
- There is an invalid or empty organisation name.
- There is an invalid email address.
- No payment is made (if the course is chargeable).
Spam orders will often use a payment type like invoice or bank transfer, but the payment won't be made. If credit card payment is selected, this will show as an order awaiting your attention on the dashboard. No confirmation email will be sent.
To reduce the number of spam registrations you are receiving, you can enable CAPTCHA on your website forms. Enabling CAPTCHA will help to reduce the amount of spam, but it cannot completely stop spam registrations from being sent to you.
Spam registrations will be most common for free courses. If you receive a spam registration on a free course, cancel the registration and archive the contact and organisation as necessary:
This is important because they will be taking up a place on your course. Also, if the registration is not cancelled, Arlo will charge for this registration credit as normal.
- Archive the contact that was created in the registration.
Use the search bar to search for the contact name.
- Archive the organisation that was created in the registration (if one was created).
You may also like to consider adding the CAPTCHA feature to reduce spam registrations.
While not as likely as spam on free courses, if you receive spam registrations for a paid course you should cancel the registration, cancel the order, and archive the contact and organisation as necessary:
This is important because they will be taking up a place at your course. Also, if the registration is not cancelled, Arlo will charge for this registration credit as normal.
- Archive the contact that was created in the registration.
Use the search bar to search for the contact name.
- Archive the organisation that was created in the registration (if one was created).
You may also like to consider adding the CAPTCHA feature to reduce spam registrations. Also, you may like to turn off automatic approval of unpaid website orders.
