This article explains how to send a survey to a newly approved registrant from SurveyMonkey using Zapier, and post-course surveys at a time of your choosing.
Arlo also has native integration with SurveyMonkey if you don't use Zapier.
- To create and use these Zaps you will need to have a Zapier starter plan or above with access multi-step Zaps.
- The course(s) you want to send surveys for will need to have a unique tag. This will be used to decide which courses should have surveys sent, and which should not.
When a registration is received and immediately approved (such as for credit card orders or free registrations) this Zap will trigger to send the survey.
- In your Zapier Dashboard select Create Zap.
- Search for and select Arlo from the app selector.
- Choose the required registration trigger (New Basic, New Multi-Session, or New Elearning registration) as the Trigger Event and press Continue.
- Add the following extra information:
- Event Information
- Contact Information
- Choose your account and press Continue.
- On the find data step, press Test trigger and Continue.
If Zapier says it cannot find any registrations to display try creating a new regsitration in your platform, waiting a couple minutes, and clicking test again.
- Choose Filter as the new action.
- Search for Event Tags in the first field.
- Fill out the next two fields with (Text) Contains and the name of the course tag you have associated this survey with.
- Press + AND to add a second rule.
- Select Registration Status as the first variable.
- Fill the next two fields with (Text) Contains and Approved.
- Press Continue to test the filters.
If Zapier respond with this Your Zap would not have continued this is because the sample registration is not approved or the course doesn't have the tag. You can either proceed or retest with a different sample registration and course that match the criteria (one may not be available in the sample data).
- Search for and select SurveyMonkey as the new Action.
- For Choose Action Event select Send Survey and press Continue.
- Select the SurveyMonkey account you'd like to connect to the Zap.
You will need to connect to your SurveyMonkey account if this is the first time you've used it for a Zap.
- Customise the data, specifying which survey you'd like to send and what information to pull from Arlo to identify who the survey will be sent to.
When choosing what Arlo information to use, Zapier shows you the available fields and allows you to search and select them.
If you would like to send your own message, you must include the SurveyMonkey shortcode links include at the bottom of the Message Body section.
- Once you've entered all the relevant information and a message to the registrant, press Continue.
- In the final step you can test that the Zap will work and a new survey will be sent successfully. Press Test & Continue.
You can choose Test & Review here if you'd like to check the information that Zapier transferred to SurveyMonkey successfully.
- The Zap is now created and ready to go, all that's left is to give it a name and turn it on.
Registrations are often taken but not immediately approved due to requiring payment to be confirmed or the registration reviewed. This Zap triggers when you have approved the registration and will then send the survey.
- In your Zapier Dashboard select Create Zap.
- Search for and select Arlo from the app selector.
- Choose the required registration trigger (Updated Basic, Updated Multi-Session, or Updated Elearning registration) as the Trigger Event and press Continue.
- Add the following extra information:
- Event Information
- Contact Information
- Choose your account and press Continue.
- On the find data step, press Test trigger and Continue.

- Press Continue to test the filters.
If Zapier responds with this Your Zap would not have continued this is because the sample registration is not approved or the course doesn't have the tag. You can either proceed or retest with a different sample registration and course that match the criteria (one may not be available in the sample data).
If you would like to schedule the survey to be sent up to 30 days after the course has finished follow these steps.
If you want to send the survey as soon as the course has finished, skip to the SurveyMonkey section.
- Search and select Formatter by Zapier as the next app.
- Select Date/Time as the Choose Action Event.
- Set the Transformation as Add/Subtract Time.
- For the the fields add the following information:
- Values = Event Finish DateTime
- Expression = the time you'd like to delay the survey for before it's send, i.e. +7 days
- To Format = DD-MM-YYYY
- From Format = can be left blank
- The formatter will add the amount of time you specified onto the end date of the course. In this case it's added 7 days to the end of the course. The next step is to take this new 'send date' and delay the survey from going till it's reached.
- Select Delay by Zapier.
- Choose Delay Until for the Choose Action Event.
- In the Date/Time Delayed Until field, select from the dropdown list the 'Send date' created in the formatter step.
- Select Continue and test the zap to see if it was delayed correctly.
- Search for and select SurveyMonkey as the new Action.
- For Choose Action Event select Send Survey and press Continue.
- Select the SurveyMonkey account you'd like to connect to the Zap.
