This article will cover sending a prepared email from Outlook or Gmail to a registrant in Arlo. You can send this email right away or delay it to send at a defined date before or after a course. The email can be styled to look like your automated Arlo emails or a normal plain text email.
To create and use these Zaps you will need to have a starter plan or above with Zapier to access multi-step Zaps.
- In your Zapier Dashboard select Create Zap.
- Search for and select Arlo from the app selector.
- Choose the required registration trigger (New Basic, New Multi-Session, or New Elearning registration) as the Trigger Event and press Continue.
- Choose your account and press Continue.
- Add the following extra information:
- Event information
- Contact information
- On the find data step, press Test and Continue.
If Zapier says it cannot find any registrations to display try creating a new registration in your platform, waiting a couple minutes, and clicking test again.
If you would an email to only be sent for specific course templates follow these steps.
If you want the email to send for all courses skip this section and add Outlook as the next action.
- Select Filter by Zapier as the next action.
- Set the filter up to only trigger when the registration is approved and is registered for the course you want to send the email for.
- Set Registration Status >> Contains >> Approved as the first rule.
- Select Event Code as the second and enter the Template code (so it applies to all scheduled courses for that template).
You can add multiple Event Codes by using the + OR option and adding the same rule with a different Template Code.
You can also use Event Tags as a filter if you would prefer
- Press Continue to test the filter.
If you'd like to delay the email from going until a certain number of days before the course starts, add the following steps after the filter but before the email step.
- Choose Formatter as the new action.
The Formatter allows you to add or remove time to a date and change the way it is structured. Using this you can subtract your chosen days and output it for use in the delay step.
- Select Date/Time for the Choose Action Event.
- Select Add/Subtract Time for the Transformation.
- For the Value select the Event Start Date/Time from Arlo's order information.
- Set the Expression to -7 days.
- The To Format (what it will output the date as) needs to be set to DD-MM-YYYY.
- The From Format (the date format Arlo provides) needs to be set to YYYY-MM-DDTHH:mm:ssZ.
- Press Continue to test the formatter.
- The test should return a result that looks like this.
- Choose Delay by Zapier as the new action.
The delay will take the payment reminder date from the Formatter and wait until it is reached before proceeding and sending the email.
- Select Delay Until as the Choose Action Event.
- Select the date from the Formatter for the Date/Time Delayed Until field.
- For How should we handle Dates in the Past? leave it as the default Continue if it's up to one day.
- Select Test & Continue to complete the delay action and add the email app you'd like to use.
- Search for and select Outlook as the new Action.
- For Choose Action Event, select Send Email and press Continue.
- Select the Outlook account you'd like to connect to the Zap.
You will need to connect to your Outlook account if this is the first time you've used it for a Zap.
It's possible to make an email from Zapier look like an email that's come from Arlo, with the same colours and layout as Arlo's automated emails.

- Search for their Contact Email in the dropdown for the To Email field.
- You can combine Arlo data and written text here to create the custom email.
Attachments can't be added to the Zap directly but need to be hosted somewhere and the link copied into the attachment field. You can use services like Google Drive, One Drive, Dropbox or your website's server to host these files.
- Once you have created your custom email and added the Arlo registrant information you press Continue.
- In the final step you can test that the Zap will work press Test & Continue.
Do not test this email if you have a real registration selected for your test data as this will send an email to the customer!
If you want to test it, change the Arlo contact email to your own by typing your email in manually, and press Test & Review. If you're happy with the result change back to the Arlo field and continue.
- You will receive the email as part of the test.
- The Zap is now created and ready to go, all that's left is to give it a name and turn it on.
- In your Zapier Dashboard select Create Zap.
- Search for and select Arlo from the app selector.

If you want the email to send for all courses include the Registration Status rule but not the Event Code rule.
- Select Filter by Zapier as the next action.
- Set the filter up to only trigger when the registration is completed and is registered for the course you want to send the email for.
